    Responsibilities

    The Executive Administrative Assistant position would be responsible for the following but not limited to:

     

    Main Job Tasks & Responsibilities:

    • Proficiency in collaboration and delegation of duties.
    • Proficiency in Quick books, Excel, Word and Microsoft Outlook a MUST.
    • Common Sense and Logical Thinking to dealing with problems and resolving.
    • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities.
    • Very Organized and regimented
    • Exceptional interpersonal skills
    • Friendly and professional demeanor,
    • Manage and maintain executives' schedules, appointments and travel arrangements
    • Prepare and edit correspondence, communications, presentations and other documents
    • File and retrieve documents and reference materials
    • Monitor, screen, respond to and distribute incoming and outgoing communications.
    • Ordering and setting up daily lunch for executives and in house and external event coordinating.
    • Provides complete executive level assistance and administrative support: including calendar management, correspondence, phone calls, filing, travel planning and itineraries, research, preparing reports and presentations.

    Other Duties and Responsibilities:

    • Ability to maintain privacy and confidentiality. Requires good oral and written communication skills. Will work collaboratively with other administrative staff within the company to foster consistency in message and team work;
    • Great communicator with whom a variety of people feel comfortable and relate;

    • Excellent calendar management skills;

    • Excellent computer skills including strong Advanced Microsoft Office skills Microsoft Office products (Outlook, Word, PowerPoint and Excel) with an ability to become familiar with firm-specific programs and software.

    Qualifications

    Education & Experience:

    • REQUIRED Minimum 2 years of experience providing administrative support to senior executives
    • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite
    • Proficient in business management software (e.g., Quick Books)
    • Knowledge of standard office administrative practices and procedures
    • Associate's or Bachelor's degree preferred but High School Graduate is a must
    • Bilingual (English is a must)
